Job Description

Position Summary:

  • To assist the physician and nursing staff in a particular department with the management of phone coverage, making appointments, patient flow, prior authorizations, and general paperwork so that quality patient care can be provided as efficiently and pleasantly as possible.
Essential Functions:
    • Answers phones; takes accurate messages and sends for medical records as needed; communicates with physicians and nurses as needed; returns calls as directed by physicians or nursing staff.
    • Submits and tracks prior authorization requests
    • Makes appointments, understanding the scheduling needs of the various physicians in the department.
    • Schedules special exams, lab, x-ray, and/or surgical procedures as directed.
    • Generally assists patient when need is apparent.
    • Generally keeps current on the scheduling and staffing situation in the department (when doctors and nurses are in or out) in order to coordinate scheduling needs.
  • Demonstrate Standards of Behavior and adhere to the Code of Conduct in all aspects of job performance at all times.
  • Required:
    • High school graduate or GED.
    • Requires the ability to relate effectively with co-workers, physicians, and staff and to function as part of a team.
    • The ability to relate effectively to patients, family members, and the general public.
    • The ability to work efficiently amidst ongoing distractions; the ability to work independently with minimal direct supervision.
    • Good organizational skills.
    • The ability to speak to others with a pleasant phone manner.
    • Attention to detail and numerical accuracy.
    • The ability to respond appropriately in an emergency situation.
    • The ability to reason and think logically to solve problems.
    • The ability to use judgment and make decisions.

    • The ability to maintain the confidentiality of patient information.

    • The ability to examine documents for accuracy and completeness; and the ability to speak clearly and concisely.
    • Leadership abilities and the ability to instruct others are also important.
    • Also needed is the ability to negotiate and work through issues and the ability to communicate effectively in written form.
  • Desired:
    • Medical terminology course.
    • Previous experience in a medical or related type of facility or office.
    • Prior computer experience
    • Ability to type at least 35 wpm.
