Job Description
Position Summary:
  • The staffing clerk is responsible for organizing and directing available staff to meet unit staffing needs. This is an ongoing process subject to rapid change. This position must be able to function in a close collaborative, professional working relationship with charge nurses, Directors, Clinical Managers, Transfer Center personnel and House Supervisors. Strong problem solving skills and the ability to work independently are required. The staffing clerk must be able to communicate well with staff to build trust and credibility.

      • Maintain confidentiality of all patient-hospital or physician related information. Refrain from gossip and speak in low tones in all appropriate areas

      • Below or at the accepted standard for unscheduled absences as outlined in HR8651.370.
    • Perform related assignments as requested in order to promote positive visitor, family, and co-worker relations.
      • Communicate, cooperate and perform related duties with other co-workers in your department and in other departments in a courteous and efficient manner to achieve overall hospital goals and objectives.
      • Greet all visitors, families, and co-workers, patients and physicians in a courteous, respectful and professional manner at all times. Respond to all visitors, clients, families, and co-workers with empathy and positive interpersonal skills at all times.
      • Handle all requests with a positive attitude at the time the request is made.
      • Assume the responsibility for maintaining healthy interpersonal relationships with all those working or being cared for in the hospital, outpatient, or home setting.

    • Generates and distributes accurate and timely Daily Staffing Reports for each staffing decision point in collaboration with charge nurses, House Supervisors, nursing leadership, Transfer Center.
    • Anticipates staffing needs based on unit census across hospital, patient acuity, staffing skill mix and available resources.
    • Maintains accurate and timely schedule data entry per Staffing Office procedures and as requested.
    • Updates daily staffing report to accurately reflect changes related to low census unplanned leave, disbility bedside assistant, and float staff assignments.
    • Communicates with the Directors, Clinical Managers, House Supervisors, and Charge Nurses to enhance the problem-solving process and quality of staffing decisions.
    • Maintains a working knowledge of contracts, personnel policies governing staffing practices and functions and established staffing office guidelines
    • Reports variances, trends, and observations to management for follow-up
    • Collaborates with Employee health regarding employee illness trends and return to work issues.
    • Assists with maintenance of staffing office projection white board.
    • Compiles downtime copies of all unit 6 week schedules.
    • Produces ClairVia reports as requested by management.

Qualifications:
  • Required:
    • Must have the ability to develop and maintain good interpersonal relationships with supervisory and staff personnel.
    • Minimum of 2 years experience in Health Care field, preferably in acute care
    • High School diploma, minimum, with strong background and/or education in computers.
    • General office skills including, typing, filing, telephone skills, and accurate data entry skills.
    • Must possess basic computer skills related to Windows navigation, mouse usage, keyboarding, email communication and password management.
